Starting your wedding planning journey is an exhilarating milestone, but knowing where to begin can be a bit overwhelming. For many couples, the first big “Yes” after the proposal is to the wedding venue.
We recently embarked on this journey for our own wedding, and I’m excited to share our experience to help you navigate the Singapore wedding scene. Whether you are looking for a grand ballroom or an intimate setting, here is how we found our dream location.
The Timeline: How Early Should You Start?
We began our search 12 months before our desired wedding date. Since we were aiming for a window between late 2025 and 2026, we had the luxury of a relaxed pace.
Pro-Tip: If you have a specific, auspicious, or high-demand date in mind, we recommend starting 12 to 18 months in advance. Popular Singapore wedding hotels and banquet perks often get snapped up quickly!
Shopping for Venues: Bridal Fairs vs. Individual Inquiries
Instead of reaching out to hotels one by one, we found that attending wedding fairs was the most efficient way to compare options. Events like BOWS (Blissful Outdoor Wedding Show) and the SingaporeBrides Wedding Fair are goldmines for couples.
Why attend a bridal fair?
Convenience: Speak to multiple vendors and wedding coordinators in a single afternoon.
Exclusive Perks: Most hotels offer wedding fair promotions, such as extra barrels of beer, waived corkage, or additional nights in the bridal suite, giving you much better value for your money.
Inspiration: You get a firsthand look at themes, floral arrangements, and layout possibilities.
Narrowing Down the Search: The 15-Table Requirement
Our primary criteria was a venue that could comfortably accommodate at least 15 tables. This “mid-sized” requirement led us to explore some of the most prestigious names in the industry:
– Conrad Orchard & Conrad Singapore Marina Bay
– Pan Pacific Singapore & Pan Pacific Orchard
– Paradox Singapore Merchant Court
A Note on Minimums: Don’t be afraid to negotiate with the wedding team! If you love a space but fall slightly short of their minimum table count, many hotels are willing to be flexible or offer a minimum spend option instead.
💡 Pro-Tips for Your Site Visits (The Insider Checklist)
When you finally go for your site visits, it’s easy to get swept away by the beautiful chandeliers. To ensure a smooth “Actual Day” (AD), keep these practical details in mind:
Pillarless vs. L-Shaped Ballrooms: We prioritized pillarless ballrooms to ensure every guest had a clear view of the stage and march-in.
The “March-In” Experience: Walk the path yourself! Check for the length of the aisle and the ceiling height—this makes a huge difference for your wedding photography and videography.
Lighting Control: Ask the coordinator about the lighting presets. Can they do “mood lighting” or a spotlight for the cake cutting?
The Bridal Suite: You’ll be spending a lot of time here. Check if it’s on the same floor as the ballroom or if you’ll need to buffer time for elevator rides during outfit changes.
⚠️ Watch Out for Hidden Costs (The “++” Factor)
In Singapore, wedding banquet prices are often quoted as “$XXXX++”. It’s important to budget for the following:
Service Charge & GST: Currently, this adds approximately 19.9% to your total bill (10% service charge + 9% GST).
Corkage Fees: If you plan to bring your own wine or hard liquor, check if the venue offers “Waiver for 1 bottle per confirmed table.”
Parking Coupons: Most packages include 20-30% parking coverage. If you have many guests driving, ask about the cost of purchasing additional vouchers.
Food Tasting: Check if this is complimentary for 6 or 10 pax. Some venues charge extra if you want to do the tasting on a weekend.
The “Winner”: Mandarin Oriental, Singapore
After touring several beautiful locations, we visited Mandarin Oriental. The moment we stepped into the space, we knew. The combination of luxury, atmosphere, and service felt exactly right for our vision. We fell in love with the venue, and the search was officially over!
Summary of Tips for Your Venue Search
Start Early: Aim for 12–18 months if you are date-specific.
Visit Fairs: Use events like SingaporeBrides to find exclusive wedding packages.
Know Your Numbers: Have a rough guest list ready to check against ballroom capacities.
Negotiate: Always ask about flexibility regarding minimum table counts and additional perks.
Finding your venue is the foundation of your wedding day. Take your time, enjoy the food tastings, and wait for that feeling of “this is the one!”
